The company

Galliard Homes, the property development group, had a large, mixed fleet of multifunctional printers, across 30 different sites. This made the management of their printers challenging and time-consuming, and often with excessive costs.

The background

We worked with Graham Carr, Head of IT at Galliard, to review their printer fleet and look at inefficiencies with their set up. There were a number of issues they experienced:

  • Unnecessary colour printing. Staff were printing in colour, when they could have printed the document in Black & White, which is more cost effective.
  • Documents sent to the printer were not secure. Galliard needed a system to allow them to keep all documents secure until the staff member was ready to collect the document from the printer. This also helps reduce paper/toner wastage with unnecessary printing.
  • Complicated consumables. Due to the number of different makes/models of printers, ordering consumables (such as toners) wasted a lot of admin time.
  • Multiple printer management. Galliard found it difficult to manage repairs and upgrades to their printer fleet across 30 sites which served 700 staff.

We reviewed their current printer fleet and recommended a fully integrated Managed Print Solution along with standardising their printer devices.

The solution

Our solution included 61 UTAX printer devices to replace their mixed fleet, across their 30 sites. We also introduced UTAX Fleet Services (U.FS), which is a cloud-based solution offering remote management and maintenance on UTAX devices. This allows for repairs, upgrades, and adjustments to be done without a technician physically on site.

We also installed MyQ print management software, which monitors print services and indicates when devices are not being used effectively. It also provides better document security, with PIN release printing. This means print jobs are released at the printer by a staff member, and printed documents are no longer left unattended.
